What an AI email management service handles

AI email management is an automated layer on top of your existing inbox that reads each new message, works out what it is and how urgent it is, and then labels it, routes it, drafts a reply or files it. You keep using Gmail or Outlook as normal. The inbox just arrives sorted, with drafts waiting.

It’s built for owners and teams who spend the first hour of every day sorting mail: quote requests mixed with supplier invoices, client questions buried under newsletters, and the one urgent complaint that sat unread until the afternoon. Email triage automation puts each message in the right place within moments of arrival.

Replies are drafts by default. Nothing goes to a customer until a person reads it and presses send, unless you choose to let a specific low-risk category send itself.

What the system does with each email

Classify and label

Every message gets a category, such as new lead, client question, invoice, scheduling or noise, plus a priority.

Draft replies

Common questions get a reply drafted from your past answers, price lists and policies, saved as a draft in the thread.

Route to the right person

Messages in a shared inbox are assigned by topic, client or region, and urgent ones are pushed to a phone by Slack or text.

Extract and log

Lead details go into the CRM, invoices go to the accounts folder, and booking requests go to the calendar workflow.

Follow-up reminders

If you sent an important email and nobody replied, you get a nudge with a drafted follow-up.

Daily digest

A short morning summary of what came in, what’s waiting on you and what was handled automatically.

How we set it up

  1. Inbox review During the free audit we look at a sample of your recent mail to define categories, routing rules and which replies are worth drafting.
  2. Voice and knowledge We collect your past replies, FAQs, price sheets and policies so drafts sound like you and use correct details.
  3. Build and shadow The system labels and drafts in the background for a trial period while you compare its choices with your own.
  4. Go live and adjust Once you approve, it runs on every new message. We review misfiled emails and adjust rules, reporting every two weeks.

Human help when you want it

Some clients want drafts checked and sent by a person who isn’t them. Our non-voice BPO team can work the drafted inbox during agreed hours, sending routine replies and escalating anything sensitive to you.

Leads pulled from email can feed straight into AI lead qualification, and attachments like invoices and contracts can go through AI document processing. It’s all part of our wider AI workflow automation work.

Questions we get about AI email management

Will the AI send emails without my approval?

No, not by default. Replies are saved as drafts in the thread for you to review. You can later allow specific categories, like appointment confirmations, to send automatically if you’re comfortable.

Does it work with Outlook and Microsoft 365?

Yes. We work with Gmail and Google Workspace, Outlook and Microsoft 365, and shared help desk inboxes like Help Scout, Front and Zendesk.

What access does it need to my mailbox?

It needs permission to read new messages, apply labels or categories, and create drafts. We set it up with the narrowest permissions your email provider allows, and you can revoke access at any time from your account settings.

How does it learn how I write?

We give it examples of your past replies and a short style guide covering greetings, sign-offs and phrases you use. You correct drafts in the first weeks, and we fold those corrections back into the instructions.

Will this mess up how my team uses the inbox?

It shouldn’t. Labels and drafts appear inside the normal inbox, and nothing is deleted. If anyone prefers to ignore the labels, the email is still there as usual.
